Terms & Conditions
1.0. ABOUT US.
1.1 Spine Book Printing operates from 9 - 10 Starnes Court, Union Street, Maidstone, Kent ME14 1EB with the company registered in England and Wales under the company number 07236927 and a VAT number of 989638729.
1.2 The Tonbridge branch is We Know Print T/A Absolute Creative Print and operates from 161 High Street, Tonbridge, Kent, TN9 1BX with the company registered in England and Wales under the company number 10160343 and a VAT number of 241061454.
2.0. OFFICE HOURS.
2.1 Spine Book Printing are open 9am - 5pm, Monday to Friday, excluding Bank Holiday weekends. Telephone calls received out of hours will be diverted to our answering machine and dealt with on the next working day.
2.2 Where staff mobile telephone numbers are provided, we ask that you exercise discretion when calling out of office hours and only call in emergencies, as these are also the staff’s personal telephones. We appreciate your understanding.
3.0. CONTACTING US.
3.1 The most effective way for us to deal with enquiries is via email (hello@spinebookprinting.co.uk) or through a contact form via this website as this allows us to distribute questions to the appropriate departments and therefore respond to you more efficiently.
3.2 You can also call us on 0330 133 9625 during the usual working hours. All price and product enquiries are dealt by the sales team.
3.3 The majority of the designer/client communication is email-based, where all parties must keep track of correspondence. This enables both parties to be able to look back over emails for clarification if needed.
3.4 Changes to designs must be communicated via email so as to keep track of the project development, and for us to have the ability to refer back to the amendments when required.
3.5 We can of course make any changes requested, if this is the first proof we have sent you we are happy to make changes to a second & third proof free of charge. Please note subsequent proofs will be charged at £15 plus VAT each.
4.0. OUR RELATIONSHIP.
4.1 After starting any job with Spine Book Printing, you authorise the staff members to proceed with the creation of the products and services, as agreed with the sales representatives and confirmed when agreeing a quote and paying for your items.
4.2 Any jobs that are put on hold or are cancelled by the client during the design and/or production will be invoiced at the current state and materials used. This invoice must be paid in full.
5.0. QUOTATIONS.
5.1 All projects will be only be commenced once an order has been placed.
5.2 All discussions and negotiations must happen before the order has been placed, unless the project requires new quotations or additional costs to be added at a later stage.
5.3 Placing your order is confirmation of your commitment to the project, with the deposit to be paid in full. Cancellation after this stage may result in additional costs for time spent by Spine Book Printing or any third parties.
5.4 For further quotations outside of placed orders, these are valid for 30 days. If the quotation has not been agreed in this timeframe, it may be subject to be re-quoted.
5.5 Any work required that has not been outlined in the approved order will incur additional costs. These will be discussed in writing before commencing with the extra work.
5.6 All costs will be recorded and made clear to the client in writing before proceeding.
6.0. PROOFING AGREEMENT.
6.1 A digital proof can be provided if requested, and we offer one free wire-bound hard copy before proceeding with the full run on all orders.
6.2 It is your responsibility to check for any mistakes as these will be present on the final print. By approving this proof, you absolve Spine Book Printing of all liability for any discrepancies that were present on the proof. Any mistakes printed after approval will incur additional costs that will be passed onto yourself.
6.3 Our standard terms and conditions revokes your right to take any kind of action against Spine Book Printing for any aspect of the work with which you are later dissatisfied. As long as the finished product is as discussed with the sales representative and consistent with the proof supplied, you must pay for the work in full.
6.4 As stated in the email supplied with the proof, all approvals must be received via email. We are unable to accept approvals via the telephone. These terms are final and non-negotiable.
6.5 We understand that with all project, changes may be made and a new proof can be supplied, which is included in the cost. We can of course make any changes requested, if this is the first proof we have sent you we are happy to make changes to a second & third proof free of charge. Please note subsequent proofs will be charged at £15.00 plus VAT each.
6.6 If a change to artwork has been requested, we will do everything we can to make the correction before printing commences. We accept no responsibility, under any circumstances, for any mistakes present on the completed work, as the signing-off of a proof via email absolves us of all liability.
6.7 If a change has requested after the material has been printed, we can re-print the files, however they will incur an additional charge, which will be passed onto yourself as part of the total charge.
7.0. PRINT QUALITY.
7.1 Where low resolution files are supplied, we will take every care to secure the best results in the finished product, but we accept no responsibility for imperfect work caused by defects from unsuitable files supplied. The design department will alert you if something is printing at a low resolution and are on hand to advise alternative options.
7.2 Every effort is made to obtain the best possible colour reproduction on work. Files that are supplied in RGB are likely to be printed slightly darker than what is on screen and where possible, we will convert this to CMYK before proceeding. We cannot guarantee an exact match in colour between the printed article and the proof supplied on screen. We are happy to provide a printed proof where possible before production if there are any concerns with the colour reproduction.
7.3 Every effort is made to produce the exact quantity of items ordered. Some variation is inherent in the print process and there are likely to be slightly more than what has originally been quoted. This is due to the printing process and it does not affect the overall cost.
8.0. INVOICING.
8.1 The client agrees to pay the full amount at the beginning of each project, upfront and via placing an order on our website.
8.2 Spine Book Printing endeavour to go above and beyond for their client at all times, however if in the event a client changes their mind, or no longer wants to continue, it may incur a cancellation fee. The cancellation fee is to cover the time that has already been spent on the client, including any work that may have been undertaken.
8.3 If extra work is required which incur additional costs, Spine Book Printing will inform the client and the costs will be added to the sales order once agreed. For example, if the client orders a book that has a page count of up to 50pp and supplies a file that is over the 50 page limit, additional costs will be incurred and paid upfront before the commencement of the order.
9.0. SCHEDULING.
9.1 Spine Book Printing requires reasonable time to complete the work requested by the client, which will be discussed at the beginning of each project.
9.2 If timings need to be adjusted for any reason, Spine Book Printing will inform the client within reasonable time,
9.3 Spine Book Printing makes every effort to achieve the agreed delivery dates and cannot accept liability of be held financially responsible for any deadlines missed resulting from extenuating circumstances:
Files supplied to Spine Book Printing after the agreed times
Other parties that are unable to fulfil their agreed delivery times
Act of God or any extraordinary incidents beyond the control of Spine Book Printing, including fire, droughts or floods
Sickness or personal injury
War or acts of terrorism
Theft, damage or loss of equipment, documents or any items that are required to fulfil the expectations of the project
Legislation
Failure of power supply
Strike action taken by persons, parties and services required to complete the work
Epidemics or pandemics, for example: the recent COVID-19 pandemic
10.0. CANCELLATIONS.
10.1 Spine Book Printing will endeavour to create the best possible work for the client in any given project. Due to the varying nature of creative work, timescales and machinery the output can vary. By agreeing to work with Spine Book Printing, the client understands the skills and work ethic that Spine Book Printing provides. If the client is unsatisfied with the work produced under this agreement, Spine Book Printing will attempt to reach a favoured solution for all parties.
10.2 Spine Book Printing reserves the right to request payment for the time spent on the project up until cancellation and are non-refundable. Records of time are kept for each project undertaken.
11.0. DISPUTES.
11.1 If the client has any disputes before, during or after a project, they are advised to contact Spine Book Printing in writing via email to ensure any issues are resolved efficiently and in an appropriate manner.
11.2 Any claims that are made against Spine Book Printing are limited to the amount of the total payment made to Spine Book Printing by the client.
12.0. LIABILITY
12.1 Spine Book Printing will take appropriate care to ensure the security and safety of any physical and/or intellectual property belonging to the client. Spine Book Printing also puts emphasis on the care and consideration for the mental and physical wellbeing of any persons in work undertaken.
12.2 Spine Book Printing will not accept liability for any of the following:
Any errors or issues with content and imagery supplied to Spine Book Printing by the client
Spelling or grammatical errors in content that has been supplied to Spine Book Printing by the client
Any damages to physical work with third party couriers
13.3 Any changes that are required after the final sign-off may incur extra costs. These will be discussed and outlined in writing with the client before proceeding.
13.0. THE LEGAL BIT.
13.1 This agreement indemnifies Spine Book Printing in respect of any claims, costs and expenses arising out of any libellous matter or any infringement of copyright, patent, design or of any proprietary or personal rights contained in any material published (both online and offline) for the client. The indemnity shall extend to any amounts paid on a lawyer’s advice in settlement of any claim.
13.2 Spine Book Printing reserves the right to change the Terms and Conditions at any time, without prior notice given.
13.3 These terms and conditions, and use of this website, shall be governed by and construed in accordance with the law of England.
